What to Expect
Your Visit, Made Simple
A trip to the dentist shouldn’t leave you wondering what happens next. From scheduling your appointment to understanding your treatment options, our team is here to make your experience as comfortable, informative, and straightforward as possible.

1. Before Your Visit
Once your appointment is scheduled, our team will help you prepare for your visit. We’ll verify your insurance benefits when applicable, gather the information we need, and answer any questions you may have.
New patients can complete their forms before arriving to make check-in easier. You’ll also receive appointment reminders and information about anything you should know before your visit.
If you have dental anxiety, a specific concern, or questions about your appointment, please let us know. Understanding what you need before you arrive helps us provide a more personalized experience.
We’ll begin by listening to what brought you in and learning more about your dental history, concerns, and goals.
2. During Your Visit
Depending on the reason for your visit, your appointment may include digital X-rays, a comprehensive oral examination, periodontal evaluation, and other diagnostic imaging or technology when appropriate.
Your provider will explain what they’re seeing, answer your questions, and discuss any recommended treatment with you. We believe you should understand your oral health and your options—not simply be told what needs to be done.
3. After Your Visit
Before you leave, we’ll make sure you understand your next steps.
If we recommend additional treatment, we’ll discuss your options, estimated costs, and scheduling. Our team can help coordinate your next appointment and answer questions about insurance or financing.
For patients receiving ongoing preventive care, we’ll help you stay on track with recommended visits and future appointments.
Our goal is for you to leave knowing what comes next and feeling comfortable with the decisions you’ve made about your care.
What to Expect at Your First Appointment
Your first visit is about more than simply looking at your teeth. It’s an opportunity for our team to get to know you, understand your concerns, establish a baseline for your oral health, and start building a long-term care plan.
For a new patient comprehensive examination, appointments typically allow approximately 60–90 minutes, depending on your individual needs and whether a cleaning is appropriate during the same visit.
Your visit may include:
- A review of your dental and medical history
- A conversation about your concerns, goals, and reason for visiting
- Necessary digital X-rays and diagnostic imaging
- A comprehensive oral examination
- Periodontal evaluation
- Oral cancer screening
- Discussion of your overall oral health
- Review of any areas of concern
- Explanation of recommended treatment, when appropriate
- An opportunity to ask questions and discuss your options
- Review of estimated costs and insurance considerations
- Scheduling of recommended follow-up care
If you’re coming in because of a specific concern, your appointment may look different. Emergency visits and appointments for a particular dental problem are tailored to what you need that day.

What Should I Bring?
If you’re a new patient, please bring:
- A valid form of identification
- Your dental insurance information, if applicable
- A list of current medications
- Information about relevant medical conditions or allergies
- Any dental records or X-rays from another practice that you have available
If you’re unsure whether you need to bring something, simply ask our team before your appointment.
Should I Complete My Forms Before My Appointment?
Yes. Completing your patient forms in advance can help make your check-in process easier and give our team important information before you arrive.
Understanding Your Care Includes Understanding Your Costs
We believe you shouldn’t have to guess what your dental care will cost.
Our insurance and financial team will help verify your benefits, review estimated costs, and explain your payment options before treatment begins. We accept a variety of dental insurance plans and will submit claims on your behalf.
Whether we’re in-network or out-of-network with your insurance, we’d still love the opportunity to care for you.
Dental Insurance
We currently participate with a variety of dental insurance plans, including:
- Delta Dental
- GEHA
- Cigna
- Aetna PPO / PDN II
- Ameritas
- Humana
- MetLife PDP Plus
- Principal
- UnitedHealthcare PPO
Insurance participation and plan benefits can vary, so we recommend confirming your specific coverage with our office and your insurance carrier.
Before your appointment, our team can help verify your benefits so you better understand your coverage. While benefit verification is helpful, insurance estimates are not a guarantee of payment, and your insurance company ultimately determines what it will pay under your plan.
What If You Don’t Have Dental Insurance?
No insurance? No problem.
Western Loudoun Dental offers a membership plan designed to make ongoing dental care more accessible for patients who do not have traditional dental insurance.
The membership plan includes benefits designed to support routine care and help reduce the cost of additional treatment. Ask our office about current membership benefits, pricing, and enrollment.
Payment Options
For patients who need treatment beyond their routine care, we’ll review your estimated costs and available payment options before treatment begins.
We offer financing options through CareCredit and Cherry for eligible patients who would like to explore monthly payment options.
Our goal is to make the financial side of your care as clear as possible so you can make informed decisions about your treatment.
What If I’m Not Sure What My Insurance Covers?
That’s okay. Insurance can be confusing, and every plan is different.
Our team will help you understand the information available to us, including your estimated benefits and your expected portion of costs. We encourage patients to contact their insurance company directly with questions about specific coverage, limitations, deductibles, or plan exclusions.
Membership Plan
An Alternative to Traditional Dental Insurance

- Dental X-rays, including panoramic imaging
- Fluoride Treatment
- CBCT imaging when applicable

Membership pricing, eligibility, enrollment requirements, and benefits are subject to the current plan terms.
Talk with our front desk team to learn more about current membership pricing, benefits, and whether the plan is right for your needs.
Understanding Your Treatment
You Deserve to Understand Your Options
Dental treatment can sometimes feel overwhelming, especially when you’re hearing unfamiliar terms or considering more than one option. At Western Loudoun Dental, we believe patient education is an important part of good dentistry.

When treatment is recommended, we’ll explain:
- What we found
- Why it matters
- What treatment options may be available
- The benefits and considerations of each option
- What may happen if treatment is delayed
- What you can expect during treatment
- Estimated costs and insurance considerations
We’ll answer your questions and give you the opportunity to think through your options.
Our role is to provide the information and professional guidance you need to make oral health decisions with confidence.
Have Questions?
We’re Here to Help
You don’t have to know all the answers before you come to the dentist.
If you’re wondering whether a treatment is necessary, what your options are, whether something can wait, or how to improve your oral health at home, we encourage you to ask.
Our goal isn’t simply to tell you what treatment we recommend. It’s to help you understand why we’re recommending it, what your options are, and what may happen if you choose to wait.
Because informed patients can make confident decisions about their care.
